What is a Microsoft Windows Server 2022 User CAL?

A Windows Server 2022 User CAL (Client Access Licence) is a licence that authorises a single user to access Windows Server 2022 services, including file sharing, printing, directory services, applications and network services, from any device. Without a CAL, any access to the server by a client constitutes a breach of Microsoft’s licence terms, regardless of actual usage.

When should you NOT choose the User CAL?

The User CAL is the best choice when each user uses multiple devices to access the server. If, on the other hand, access takes place from fixed workstations shared by multiple users, production terminals, kiosks or till points, the Device CAL is structurally more cost-effective: a single licence covers all users who take turns using that device. Consider the number of users in relation to the number of devices: if there are fewer devices than users, the Device CAL reduces the overall cost.

Does the User CAL also cover Remote Desktop Services (RDS)?

No. The standard User CAL covers general access to server services (files, printing, directories). To enable Remote Desktop sessions via RDS, an additional RDS User CAL is required, separate from the standard CAL. Both licences are required in environments that combine standard server access and remote sessions.

Is the Windows Server 2022 User CAL compatible with earlier versions of the server?

No. CALs are version-specific: a User CAL for Windows Server 2022 authorises access exclusively to servers running that version. To access Windows Server 2019, 2016 or earlier servers, the corresponding CALs for each version are required.

Windows Server 2022 User CAL: the access licence is sent by email

The Windows Server 2022 User CAL is a named-user access licence, not software to be installed: Mr Key Shop delivers it in the form of a licence code via email, together with the operating instructions on how to proceed. The User CAL authorises a specific user to access server resources – files, printers, directories and applications – from any device within the Windows Server 2022 infrastructure. By purchasing it from Mr Key Shop, you receive a genuine Microsoft licence, ready for immediate registration on the licence server with no intermediate steps.

Windows Server 2022 User CAL registration: a fully server-side operation

The procedure takes place within the server’s administrative environment, without any intervention on users’ devices. Log in to Server Manager with an administrator account, go to Tools → Remote Desktop Services Licence Management, or, for Standard Access CALs, use the appropriate Active Directory licensing tools. Check that the licensing mode is set to ‘Per user’, launch the licence addition wizard and enter the code you have received, selecting Windows Server 2022 as the reference version. The licences are added to the available pool once registration is complete.

Windows Server 2022 User CAL Activation: Named coverage across all devices

The server automatically assigns the User CAL to the user upon their first valid connection following registration. The assignment is named: the same user can log in from a desktop PC, laptop, thin client or mobile device without each login consuming an additional licence. This model is particularly efficient in environments where users work from multiple locations or whilst on the move. Reassigning a licence to a new user requires manual intervention by the administrator via the management console.
